  • Digital download: nothing is posted to you
  • Files ready as soon as you buy
  • Secure checkout on Etsy
  • The spreadsheet is in your download. It opens on a Start tab with five steps, each linked to its tab.
  • Two input tabs. Everything else is worked out by formulas.
  • Any tax year: pick the start month once (January, April, July or any other) and every tab follows.
  • A late payment lands in the month it was owed, not the month it arrived.

The details

A rent ledger for owners of 1 to 25 long-term rental units. You fill in two tabs, Rent In and Expenses. Who owes what, profit per property and the year-end summary update as you type.

What makes this one different
  • The spreadsheet is in your download. It opens on a Start tab with five steps, each linked to its tab.
  • Two input tabs. Everything else is worked out by formulas.
  • Any tax year: pick the start month once (January, April, July or any other) and every tab follows.
  • A late payment lands in the month it was owed, not the month it arrived.
  • A Self-Test tab says PASS or FAIL, so you can see that the totals agree.
The tabs
  • Start: five steps with links
  • Settings: tax year start, currency symbol, expense categories, payment methods
  • Units: rent roll with rent, due day, lease dates, deposit held
  • Rent In: one row per payment (3,000 rows)
  • Expenses: one row per expense (3,000 rows)
  • Tenant Ledger: pick a unit; see rent due, received and running balance for each month
  • Arrears: one row per unit with balance owed, months behind and last payment date; rows turn red when rent is owed
  • Property P&L: income, expenses and net for each property, month by month
  • Annual Summary: income, expenses by category and net, with a column per property; the print area covers the first 10 properties and can be widened
  • Self-Test: twelve PASS or FAIL checks
Expense categories
  • US preset: the expense lines of IRS Schedule E (2025 form)
  • UK preset: the expense boxes of the HMRC SA105 UK property pages (2026 notes)
  • Custom: type up to 15 headings of your own (use this for Australia, Canada and elsewhere)
  • The source and the date each list was checked are shown on the Settings tab. Forms change, so check the list against the current form for your tax year.
What you get
  • Landlord-Rent-Ledger-25-Units.xlsx: your blank workbook
  • Landlord-Rent-Ledger-25-Units-EXAMPLE.xlsx: the same workbook with a made-up year for three units
  • Guide.pdf: two pages
How it works out the numbers
  • Rent is due for each month of the tax year that touches the lease. Part months are not prorated; you enter the difference as an adjustment row, and the guide shows how.
  • Expenses marked "All properties" are split evenly across your properties.
  • Amounts are plain two-decimal numbers. Your currency symbol appears in the headings.
  • No macros and no add-ins.
Please note
  • Record-keeping summary for your accountant. Not tax advice.
  • Not included: short-term rentals, mortgage amortisation, depreciation schedules, deposit interest, automatic late fees.
  • One copy of the file per tax year.
  • Sample names, addresses and amounts in the example file are made up.
  • Because this is a digital file, it cannot be returned. Message me if anything does not open and I will help.
  • Only need 10 units? See the 10-unit version in my shop.
